Rep-Air Heating and Cooling ("we", "us") is a locally owned heating, cooling, plumbing and electrical company based at 32929 Mission Way #4, Mission, BC V2V 6E4. This policy explains what personal information we collect through this website and our services, why, who we share it with, how long we keep it, and the choices you have. We handle personal information in line with British Columbia's Personal Information Protection Act (PIPA) and, where it applies, Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). Commercial emails and texts follow Canada's Anti-Spam Legislation (CASL).
The Short Version
- We collect what you give us (like your name, phone, email, address and job details) plus basic website usage data from cookies.
- We use it to answer you, quote and do the work, and run and improve our business. We do not sell your personal information.
- We only call, text or email you about your request or service unless you agree to more, and you can opt out at any time (reply STOP to a text, or use the unsubscribe link in an email).
- Some of our service providers, such as Google and Meta, store data in the United States.
- You can see, correct or ask us to delete your information, and turn off non-essential cookies, at any time. Contact us at [email protected].
Information We Collect
- Service requests and quotes: your name, email address, phone number, postal code and city, the type of equipment and service you need, how soon you need us, your preferred appointment window, anything you write in a message, and any photos you choose to upload of your equipment or home.
- Job applications: your name, email address, phone number, the position you are applying for, your message, and the résumé you upload, including the work history and any other details you include in it.
- When we do the work: your service address, details about your home and equipment, the work done, invoices and payment records, and warranty and maintenance plan records.
- Calls, texts and emails: if you call, text or email us, we keep a record of the conversation, your number or address, and the date and time, so we can respond and schedule your service.
- Information collected automatically: pages you visit, how you arrived at the site (for example the ad or search you clicked), your approximate location based on your IP address, device and browser type, and similar usage data, collected with cookies and similar technologies (see below).
- From others: reviews you post about us on review sites, and the result of a financing application you make with our financing partner (approved or not, and the amount).
How We Use It
We use personal information to:
- answer your questions, give quotes, and schedule and perform service;
- send appointment confirmations, reminders, follow-ups, invoices and warranty or maintenance plan notices;
- process payments and support financing applications you choose to start;
- review job applications and contact applicants;
- protect our forms from spam and abuse, keep our business records, and meet our legal obligations;
- understand how the website is used and measure and improve our advertising;
- send promotions and offers, only where you have agreed or the law allows it.
We do not sell your personal information, and we do not use it to make automated decisions about you.
Calls, Texts and Emails
When you send us a form, you agree that we may contact you about that request by phone or email. We text you about it only if you tick the separate, optional text-message box on the form, or if you text us first. We also contact customers about their appointments, invoices, warranties and maintenance plans. These messages are about the service you asked for, not advertising.
We send promotional messages (such as seasonal tune-up offers and rebate news) only with your consent. That can be express consent, where you clearly agree to receive them, or implied consent that Canadian law allows for a limited time after you ask us about our services or buy from us. Every promotional email identifies Rep-Air Heating and Cooling, includes our mailing address, and has an unsubscribe link. We act on unsubscribe requests within 10 business days.
Text messages
- If we text you, the messages come from Rep-Air Heating and Cooling and are about your request or service. Message frequency varies with your service, usually a few messages per job.
- Message and data rates may apply, depending on your mobile plan.
- Reply STOP to any text to stop texts, or call (778) 728-1956.
- Mobile carriers are not responsible for delayed or undelivered messages.
- Agreeing to texts is not a condition of buying anything from us. We do not sell or share your phone number or text consent with anyone for their own marketing.
Cookies, Analytics and Advertising
This website uses cookies and similar technologies, from us and from service providers, to understand how the site is used and to measure and improve our advertising. These include:
- Google Tag Manager and Google Analytics: to see which pages are visited and how people find us.
- The Meta (Facebook and Instagram) Pixel: to measure which ads lead to enquiries and to show our ads to people who have visited the site. If we advertise on other networks, such as Google Ads, their tags work the same way.
- Google reCAPTCHA: to protect our forms from spam. Its use is subject to Google's Privacy Policy and Terms of Service.
- Embedded content: Google Maps, our customer reviews widget (Trustindex) and Google Fonts, which receive your IP address when they load.
- Call and lead tracking (WhatConverts): a tracked phone number and form tracking that show which ad or page led to your call or enquiry.
- Website optimization: a script from our web provider, CI Web Group, that helps measure and improve how the site performs.
For most visitors these cookies are on by default. Choosing Decline in Cookie Settings (see Your Privacy Choices below) turns off Google's analytics and advertising cookies and Meta advertising. Call and lead tracking and our web provider's optimization script keep running so we can answer calls and keep the site working. For visitors in the European Economic Area, the United Kingdom, Switzerland and Quebec, Google's analytics and advertising cookies stay off unless you accept them. If you choose Decline, or your browser sends a Global Privacy Control signal, we also tell the Meta Pixel not to use your visit for advertising. You can also opt out of Google's ad personalization at adssettings.google.com, install the Google Analytics opt-out add-on, and manage Meta ads in your Facebook or Instagram ad settings.
Who We Share It With
We share personal information only with service providers who help us run our business, and only what they need. They may use it only to provide services to us. They include:
- our website and form provider, which hosts this site and delivers form submissions to us;
- scheduling, dispatch and customer-records software;
- payment processors and our financing partner, Financeit, when you choose to apply for financing (Financeit's own privacy policy applies to your application);
- email, phone and text-messaging providers;
- the analytics, advertising, anti-spam and embedded-content providers named above;
- our accountants, lawyers and insurers, when needed.
We may also share information when the law requires it, to protect our rights or someone's safety, or as part of a sale or transfer of our business, where the buyer must keep using it only as this policy allows.
Storage Outside Canada
Some of our service providers, including Google, Meta and our website provider, store or process information in the United States and other countries. While it is there, it is protected by our contracts with those providers but may be accessible to courts, law enforcement and national security authorities under local law. You can ask us about our practices for providers outside Canada by contacting us.
How Long We Keep It
- Customer, job, invoice and warranty records: for as long as you are a customer and at least seven years after your last service, to meet tax and warranty needs.
- Enquiries that do not become a job: up to two years.
- Job applications and résumés: up to one year, unless you are hired.
- Website analytics data: for the period set in our analytics account, no longer than 14 months.
After that we securely delete or anonymize it, unless the law requires us to keep it longer. If we used your information to make a decision about you, we keep it for at least one year so you can ask to see it.
How We Protect It
We protect personal information with reasonable physical, technical and administrative safeguards, such as access limited to staff who need it, password-protected systems and encrypted connections on this website. No system is perfectly secure, so we cannot guarantee absolute security. If a breach creates a real risk of significant harm to you, we will tell you and the regulators as the law requires.
Your Privacy Choices
Cookies and advertising
Use the Cookie Settings link at the bottom of any page to accept or decline non-essential cookies, and to change that choice later. We also honour the Global Privacy Control (GPC) signal: if your browser sends it, we treat it as a request to turn off advertising cookies, with no further step needed. Browsers' older "Do Not Track" setting has no common standard, so we do not respond to it. You can also block or delete cookies in your browser settings.
Your California Privacy Rights: Do Not Sell or Share My Personal Information
What this website collects. Identifiers and contact details you give us in a form, call or text (name, phone, email, address or postal code, and your message), and internet activity collected by the tools named in Cookies, Analytics and Advertising above: Google Tag Manager and Google Analytics (pages visited, device and approximate location), the Meta Pixel (ad measurement), WhatConverts call and lead tracking (which page or ad led to your call or enquiry), Google reCAPTCHA (spam checks), our web provider's optimization script, and embedded content (Google Maps, Google Fonts and our Trustindex reviews widget), which receives your IP address when it loads.
Selling and sharing. We do not sell personal information for money. When advertising cookies are on, the Meta Pixel may count as "sharing" for cross-context behavioural advertising under the California Consumer Privacy Act as amended by the CPRA. To opt out, choose Decline in Cookie Settings (in the footer of every page), or turn on the Global Privacy Control in your browser, which we honour automatically.
Your rights in Canada
Under BC's PIPA and Canada's PIPEDA you can ask to see the personal information we hold about you and how we have used and shared it, ask us to correct it, ask us to delete what we no longer need, and withdraw your consent to how we use it (which may limit what services we can provide, and does not affect records the law requires us to keep). You can unsubscribe from promotional emails or texts at any time using the link in the message, by replying STOP to a text, or by contacting us. If you are not satisfied with our response, you may contact the Office of the Information and Privacy Commissioner for British Columbia.
Quebec residents (Law 25)
If you are in Quebec, Google's analytics and advertising cookies on this site stay off until you choose Accept, as Quebec's Act respecting the protection of personal information in the private sector (Law 25) requires. You also have the rights that law gives you, including to access and correct your information, to withdraw consent, and to ask that it stop being disseminated. Our Privacy Officer is the person in charge of protecting personal information; how to reach them is under How to make a request below.
United States residents, including California
We serve homes in British Columbia, but visitors from elsewhere can use this site. We do not sell personal information for money. Some advertising cookies may count as "sharing" for cross-context behavioural advertising under California law and as "targeted advertising" under the privacy laws of other U.S. states. You can opt out of that by declining cookies in Cookie Settings or by using the Global Privacy Control. Where your state's law gives you the right, you can also ask to know, access, correct or delete your personal information, and appeal our decision on a request by replying to it. We will not treat you differently for using these rights.
How to make a request
Contact our Privacy Officer by email at [email protected], by phone at (778) 728-1956, or by mail at 32929 Mission Way #4, Mission, BC V2V 6E4. We may need to confirm your identity before we act on a request, and we respond within 30 days. An authorized agent can make a request for you with your written permission.
Payment Security
This website never asks for, collects or stores credit card or bank account numbers. If you pay by card, your card details are handled by the payment provider used at the time of payment and are not stored on this website. Financing applications are made directly on Financeit's own secure website, which handles your financial information under its own security standards and privacy policy. If anyone claiming to be us asks you to enter card details on this website, please call us at (778) 728-1956.
Children
This website is meant for adults arranging home services. It is not directed to children, and we do not knowingly collect personal information from children under 13. If you think a child has sent us information, contact us and we will delete it.
Other Websites
This site links to other websites, such as our financing partner, review sites and social media. Their own privacy policies apply, and we are not responsible for how they handle your information.
Changes to This Policy
We may update this policy from time to time. The date at the top shows when it last changed. If we make a significant change to how we use your information, we will post a notice on this website and, where the law requires, ask for your consent.
